Ykids Data Privacy Statement

Ykids collects personal data from our service users (children, young people and families) and our donors. Ykids data controller is Claire Morgans CEO and you can contact her if you have a question about your data.


Ykids is committed to keeping the data we collect secure and private. The data we have is used to contact our participants, funders, partners and supporters. We use data as evidence to prove our effectiveness as a charity, this includes statistics, quotes, and case studies. Conditions of certain funders require us to share attendance and some information about participants. You can choose to opt out of this if you want to. Our lawful basis for processing this information is the fulfilment of a contract.


We always ask consent to take and share photographs both internally and outside of Ykids.


Your information will be kept securely and privately, with restricted access. There are times when we need to share information with outside organisations, for example- if we suspect someone we work with is at risk of harm, this will usually be fully explained first to the people involved. We will never sell personal information.


We keep information (e.g. addresses, D.O.B.) about service users while they are accessing Ykids services and for 5 years after they have ceased to attend. We keep our showcase photos to show our history and journey of an organisation over time.  This does include photographs of service users and staff.


By submitting your data to this site, you are giving your permission for Ykids to hold the information about you contained in our Contact Form.  You have the right to withdraw your consent for us to hold information about you at any time.


Ykids believes that being part of people’s lives in the long term is beneficial and our long-term support makes a positive difference in people’s lives. We keep data that helps us prove this claim indefinitely.

If I don’t tick a box, does that mean I can’t join in?

No, you can still join in any Ykids project! Not ticking a box will affect how we handle your data, if you haven’t ticked a box it will likely mean that we’ll keep certain parts of your data anonymous.


Ykids needs to keep the information on your consent form in case of emergency and to prove we had permission for you to join in. How we use that information beyond this purpose is up to you.


What if I change my mind?

You can change your mind at any time if you’d like us to process your information differently. If you’d like to change your consent, speak to your group leader.


Can I see the information Ykids has about me?

Yes, you can make a request to see any information you want that Ykids has about you if you are over 13 or about your child if they are under 13.
